Collection and processing of data on website visitors

The IDOS website uses the open source web analytics service Matomo, which utilises cookies. These text files are stored on your computer and allow us to analyse the way you use our website. You can register to receive our Newsletter, the Publication Update, the Current Column, press releases and thematic e-mails regularly by completing the registration form. As a minimum, we will require your e-mail address for this purpose. Any other details you provide are voluntary and will only be used with your consent, for example, in order to get in touch with you personally and clarify any issues with your e-mail address. In order to send you items by post, we require your address details.
We use the double opt-in procedure for registration, which means that we will not send you any e-mails until you have confirmed your registration after sharing with us your e-mail address by clicking on a corresponding link in an e-mail we send you. Your registration and confirmation will be logged. This is designed to ensure that it is really you that has registered yourself as the user of the e-mail address provided to us. Our newsletter service will not accept any further registrations under this e-mail address until you have provided confirmation.

We use the software Brevo for our newsletters, which involves your data being transmitted to Newsletter2Go GmbH. Online application for the Postgraduate Training Programme
The personal data collected in the online application form for the Postgraduate Training Programme is used for the exclusive purpose of processing your application. Your personal data is only disclosed to persons involved in the application process. These individuals are required to uphold the confidentiality of your data. Your personal data will not be forwarded to third parties. The data of applicants that are not selected will be deleted once the application process has ended.

Tracking
Newsletter2Go records user behaviour with regard to click, open and unsubscribe rates. In so doing, it complies with the requirements of the General Data Protection Regulation and ensures that the collected data is not merged with personal data in order to prevent individuals being identified personally.
Registering for events
Data transferred to us as part of the online event registration process is used by us for the exclusive purpose of processing your registration. Your data will not be used for purposes unrelated to the registration process and in particular will not be transmitted to third-party companies without your explicit consent.
Security
IDOS takes technical and organisational precautions to protect the personal data it collects against intentional or unintentional manipulation, loss and destruction, and to prevent it being accessed by unauthorised individuals. We make ongoing improvements to our security measures in line with technological developments.

Our websites may contain links to websites of other providers. We wish to point out that this data protection policy applies exclusively to websites operated by IDOS. We have no influence over, nor do we check whether other providers are compliant with relevant data protection requirements.

Wir möchten Sie nachfolgend über die Verarbeitung personenbezogener Daten im Zusammenhang mit der Nutzung von Zoom und Webex informieren.
Wir nutzen die Tools Zoom und Cisco Webex, um Telefonkonferenzen, Online-Meetings und/oder Videokonferenzen durchzuführen (nachfolgend: „Online-Meetings“). Zoom ist ein Service der Zoom Video Communications, Inc., die ihren Sitz in den USA hat. Webex ist ein Produkt der Cisco Systems Inc., ebenfalls mit Sitz in den USA.
Verantwortlich für Datenverarbeitung, die im unmittelbaren Zusammenhang mit der Durchführung von „Online-Meetings“ steht, ist das German Institute of Development and Sustainability (IDOS).
Hinweis: Soweit Sie die Internetseiten von Zoom Video Communications, Inc. oder Cisco Systems Inc. (provided by Telekom Deutschland GmbH) aufrufen, sind die Anbieter der jeweiligen Dienste für die Datenverarbeitung verantwortlich. Ein Aufruf der Internetseite ist für die Nutzung von Zoom oder Cisco-Webex jedoch nur erforderlich, um die Software für die Nutzung von des jeweiligen Dienstes herunterzuladen.
Zoom und Cisco-Webex können Sie auch nutzen, indem Sie die jeweilige Meeting-ID und ggf. weitere Zugangsdaten zum Meeting direkt in der App eingeben.
Wenn Sie die „Zoom“-App oder die Cisco Webex-App nicht nutzen wollen oder können, dann sind die Basisfunktionen auch über den Web-Browser (Chrome, Edge, Firefox) nutzbar. Sprach und Bildqualität können dabei aber deutlich eingeschränkt sein.
Bei der Nutzung von Zoom und Cisco-Webex werden verschiedene Datenarten verarbeitet. Der Umfang der Daten hängt dabei auch davon ab, welche Angaben zu Daten Sie vor bzw. während der Teilnahme an einem Online-Meeting machen.
Folgende personenbezogene Daten können Gegenstand der Verarbeitung sein:
Bei Aufzeichnungen von Online-Meetings (optional): MP4-Datei aller Video-, Audio- und Präsentationsaufnahmen, M4A-Datei aller Audioaufnahmen, Textdatei des Online-Meeting-Chats.
Bei der telefonischen Einwahl: Angabe zur eingehenden und ausgehenden Rufnummer, Ländername, Start- und Endzeit. Ggf. können weitere Verbindungsdaten wie z.B. die IP-Adresse des Geräts gespeichert werden.
Text-, Audio- und Videodaten: Sie haben ggf. die Möglichkeit, in einem „Online-Meeting“ die Chat-, Fragen- oder Umfragenfunktionen zu nutzen. Insoweit werden die von Ihnen gemachten Texteingaben verarbeitet, um diese im „Online-Meeting“ anzuzeigen und ggf. zu protokollieren. Um die Anzeige von Video und die Wiedergabe von Audio zu ermöglichen, werden entsprechend während der Dauer des Meetings die Daten vom Mikrofon Ihres Endgeräts sowie von einer etwaigen Videokamera des Endgeräts verarbeitet. Sie können die Kamera oder das Mikrofon jederzeit selbst über die Zoom-Applikationen abschalten bzw. stummstellen.
Um an einem „Online-Meeting“ teilzunehmen bzw. den „Meeting-Raum“ zu betreten, müssen Sie zumindest Angaben zu Ihrem Namen machen.
Für den Fall, dass ein Online-Meeting aufgezeichnet werden soll, wird dies allen Teilnehmenden vorab explizit mitgeteilt und – soweit erforderlich – um Zustimmung gebeten. Die Tatsache der Aufzeichnung wird Ihnen zudem sowohl in der Zoom-App als auch in der Cisco-Webex-Anwendung angezeigt.
Wenn es für die Zwecke der Protokollierung von Ergebnissen eines Online-Meetings erforderlich ist, werden wir die Chatinhalte protokollieren. Dies stellt jedoch nicht den Regelfall dar.
Wenn Sie bei Zoom als Benutzer*in registriert sind, können Berichte über „Online-Meetings“ (Meeting-Metadaten, Daten zur Telefoneinwahl, Fragen und Antworten, Umfragefunktion) bis zu einem Monat bei Zoom gespeichert werden.
Eine automatisierte Entscheidungsfindung i.S.d. Art. 22 DSGVO kommt nicht zum Einsatz.
Soweit personenbezogene Daten von Beschäftigten des German Institute of Development and Sustainability (IDOS) verarbeitet werden, ist § 26 BDSG die Rechtsgrundlage der Datenverarbeitung. Sollten im Zusammenhang mit der Nutzung von Zoom personenbezogene Daten nicht für die Begründung, Durchführung oder Beendigung des Beschäftigungsverhältnisses erforderlich, gleichwohl aber elementarer Bestandteil bei der Nutzung von Zoom sein, so ist Art. 6 Abs. 1 lit. f) DSGVO die Rechtsgrundlage für die Datenverarbeitung. Unser Interesse besteht in diesen Fällen an der effektiven Durchführung von Online-Meetings.
Im Übrigen ist die Rechtsgrundlage für die Datenverarbeitung bei der Durchführung von Online-Meetings Art. 6 Abs. 1 lit. b) DSGVO, soweit die Meetings im Rahmen von Vertragsbeziehungen durchgeführt werden.
Sollte keine vertragliche Beziehung bestehen, ist die Rechtsgrundlage Art. 6 Abs. 1 lit. f) DSGVO. Auch hier besteht unser Interesse an der effektiven Durchführung von Online-Meetings.
Personenbezogene Daten, die im Zusammenhang mit der Teilnahme an Online-Meetings verarbeitet werden, werden grundsätzlich nicht an Dritte weitergegeben, sofern sie nicht gerade zur Weitergabe bestimmt sind. Beachten Sie bitte, dass Inhalte aus Online-Meetings, wie auch bei persönlichen Besprechungstreffen, häufig gerade dazu dienen, Informationen mit Kunden, Interessenten oder Dritten zu kommunizieren und damit zur Weitergabe bestimmt sind.
Weitere Empfänger: Die Anbieter von Zoom und Cisco-Webex erhalten notwendigerweise Kenntnis von den o.g. Daten, soweit dies im Rahmen unseres Auftragsverarbeitungsvertrages mit Zoom und Cisco/Deutsche Telekom vorgesehen ist.
Zoom ist ein Dienst, der von einem Anbieter aus den USA erbracht wird. Eine Verarbeitung der personenbezogenen Daten findet damit auch in einem Drittland statt. Wir haben mit dem Anbieter von Zoom einen Auftragsverarbeitungsvertrag geschlossen, der den Anforderungen von Art. 28 DSGVO entspricht.
Ein angemessenes Datenschutzniveau ist zum einen durch die „Privacy Shield“-Zertifizierung von Zoom Video Communications Inc. und Cisco Systems Inc., zum anderen aber auch durch den Abschluss der sog. EU-Standardvertragsklauseln garantiert.
Das IDOS hat einen Datenschutzbeauftragten benannt.

Bei einer Auskunftsanfrage, die nicht schriftlich erfolgt, bitten wir um Verständnis dafür, dass wir ggf. Nachweise von Ihnen verlangen, die belegen, dass Sie die Person sind, für die Sie sich ausgeben.
Ferner haben Sie ein Recht auf Berichtigung oder Löschung oder auf Einschränkung der Verarbeitung, soweit Ihnen dies gesetzlich zusteht.

Ein Recht auf Datenübertragbarkeit besteht ebenfalls im Rahmen der datenschutzrechtlichen Vorgaben.
Wir löschen personenbezogene Daten grundsätzlich dann, wenn kein Erfordernis für eine weitere Speicherung besteht. Ein Erfordernis kann insbesondere dann bestehen, wenn die Daten noch benötigt werden, um vertragliche Leistungen zu erfüllen, Gewährleistungs- und ggf. Garantieansprüche prüfen und gewähren oder abwehren zu können. Im Falle von gesetzlichen Aufbewahrungspflichten kommt eine Löschung erst nach Ablauf der jeweiligen Aufbewahrungspflicht in Betracht.
Sie haben das Recht, sich über die Verarbeitung personenbezogenen Daten durch uns bei einer Aufsichtsbehörde für den Datenschutz zu beschweren.
